Position: Finance Assistant

About the Role: Support the Finance & HR Manager in performing various HR and payroll-related administrative tasks. This includes providing information and clerical support to employees regarding human resources activities, policies, processes, and procedures. Assist managers in recruiting suitable candidates in coordination with the Group HR team and the Finance & HR Manager. Ensure accurate and timely submission of properly authorized payroll data to the payroll bureau each month.

The organization operates across several countries, including Several European countries, Singapore, and the USA, employing approximately 250 people globally.

Location: Hamburg, Germany + up to 6 Days/Month Remote

Reports To: Finance & HR Manager

Main Purpose of Job:

  • Reconcile all bank accounts and cash books on a daily basis.
  • Process and pay all approved incoming supplier invoices and maintain the Creditors Ledger.
  • Collect cash and resolve disputes and queries on the sales ledger.
  • Support the Finance & HR Manager in performing various HR and payroll-related administrative tasks.

What You´ll Do:

Admin:

- Manage insurance matters.

- Oversee company cars.

- Liaise with landlords and manage facility-related issues.

Purchase Ledger:

- Match & post invoices.

- Obtain authorization for payments.

- Perform payment runs.

- Handle supplier queries.

- Generate ad-hoc reports.

- Process urgent payments/one-offs.

- Manage staff expenses and credit card postings.

- Open new supplier accounts in Navision.

- Maintain master file data.

- Monitor debit balances on Purchase Ledger (prepayments).

General Accounts Support:

- Process journals using Microsoft BC14.

- Run reports and produce management information.

- Answer queries and support the Senior Financial Accountant.

Dimensions:

- Purchase Ledger, & Bank accounts for the GmbH business and HR Works

Assignment and Review of Work:

- Work is assigned and reviewed by the Finance & HR Manager, the CFO, and the HR Advisor in the UK.

Contacts With Others:

- Maintain good internal communication with colleagues.

- Liaise with the payroll bureau, landlord, and insurance broker as necessary.

            What We´ll Expect:

            - Experience with Dynamics NAV or Business Central.

            - Experience handling confidential information and sensitive data appropriately.

            - Strong interpersonal skills.

            - Proficiency in MS Excel.

            - Good command of Business English.

            - Experienced with Purchase Ledger.
